ROADSHOW PROCEDURES
Roadshows are programs involving food or sundry items. The vendor commits to running several consecutive days according to Costco's direction. The Roadshow will run the entire time the warehouse is open.
The vendor must confirm all roadshows at least two weeks prior to the date the roadshow is to start. Roadshows are confirmed by faxing a signed copy of the Roadshow Order and the completed Roadshow Checklist to PWD at 905-817-2911.
PWD will forward a complete package that includes detailed procedures for the vendor to follow and the procedures that PWD follows. It is very important that the Roadshow Checklist is thoroughly completed and provides pertinent information about your company and the products being featured in the roadshow.
Lead time is crucial. PWD has an appointed ‘Roadshow Team’ in each warehouse who are sales oriented individuals with proven track records in executing high quality programs. They are familiar with all roadshow procedures and expectations. The more notice that is given, the more prepared your rep will be.
The following will facilitate a smooth coordination of Roadshows:
All communication between PWD and the vendor regarding the upcoming roadshow must be finalized a week prior to the start of the roadshow. If any training is required with the warehouses whether it be a briefing or conference call, they must take place a minimum of 3 days before the start.
PWD will provide the vendor with a Roadshow Checklist which will ask the vendor for the following information, the Checklist must be completed and sent back to PWD 1 week before the start of the show:
Product Information
Set Up instructions
Photo or diagram of setup
Sampling instructions and supplies needed
Sample Product: purchase, drop or pull from stock. If pulled from stock vendor should supply an appropriate document for tracking.
Additional Staff to cover peak times if required
Take Down Instructions
